The Problem

If you were asked to design a product from scratch, one would start with digging deep into the Use Cases, asking the right questions, writing user stories, creating task flows, start sketching and validate it and repeat. Basically the "WHAT, WHY and HOW". 

But, Redesigning an existing legacy enterprise system isn't exactly the same. One has to deal with the User's mental model created by the previous designs, a bunch of anomalies and a long list of expectations. However, what you do get is to work with the people who know the In's and Out's of the product. 

Defining Project Goals

A project of this size can not be handled alone. So, I decided to use other's knowledge about the product as a leverage. I started the project with meeting every direct and indirect stakeholder right from the Developer to Customer Support Manager and QA test team trying to know about the system and business. Understood the Intent of the individual modules and their functionalities. Ran string tasks on the existing system till I could figure out the basic loopholes in the task flow and Information Architecture.

 

After spending days on discussions with the team mates and other departments we finally decided to work on the major problems. 

  • System was not industry focused, meaning the system treated every industry like same. Multiple industries were using the same system/interface for different use cases thus causing difficulties to adapt to the ways and nomenclatures that were not native to their operations, thus reduced efficiency, usability and scalability 

  • Even simple & frequent tasks required a high number of clicks to complete, thus decreased efficiency & increased business cost.

  • Modern SaaS softwares are loaded with extra features and ad-ons. Lack of Key Performance Indicators and Monitoring systems, the competitors were getting an extra edge.

Ideate-Prototype-Evaluate-Iterate

At this step, getting feedbacks and validating the designs was the key to solution. I shared designs progress and ideas on a bi-weekly basis with the team. After 4+ prototypes and a lot of iterations on each screen we were able to lock on the solutions that catered to our customer's problems and potential cases like error, success and deadends

Getting the Visual Design right isn’t just about the layout, typography and visual hierarchy, but also to design a visual framework that is consistent and scalable to make future work more efficient.
